Complete guide to managing fees and payments
Fee Management
The Fee Management section allows administrators to manage student fees, track payments, generate financial reports, and monitor the financial aspects of the Lumus LMS platform.

Overview
Fee Management enables you to:
- Set up fee structures for classes and subjects
- Track student payments
- Generate payment receipts
- Monitor outstanding fees
- View financial reports
- Export financial data
- Manage payment methods
Fee Structure Setup
Accessing Fee Management
- Log in to the administrator dashboard
- Click on "Fee Management" in the navigation menu
- Navigate to "Fee Structure" section

Creating Fee Categories
- Click "Add Fee Category"
- Enter category name (e.g., "Tuition", "Lab Fees", "Materials")
- Set default amount (optional)
- Save the category

Setting Class Fees
- Navigate to "Class Fees"
- Select a class
- Set fee amount for that class
- Configure payment schedule (one-time, monthly, semester)
- Save fee structure

Setting Subject Fees
- Go to "Subject Fees"
- Select a subject
- Set fee amount
- Apply to all classes for that subject or specific classes
- Save configuration

Managing Student Fees
Viewing Student Fee Status
- Navigate to "Student Fees"
- Search for a student by name or ID
- View complete fee information:
- Total fees due
- Amount paid
- Outstanding balance
- Payment history
- Upcoming payments

Assigning Fees to Students
- Go to student fee details
- Click "Add Fee"
- Select fee category
- Enter amount
- Set due date
- Save fee assignment

Bulk Fee Assignment
- Navigate to "Bulk Operations"
- Select multiple students
- Choose fee category and amount
- Set due dates
- Apply fees to all selected students

Recording Payments
Recording a Payment
- Open student fee details
- Click "Record Payment"
- Enter payment information:
- Payment amount
- Payment date
- Payment method (Cash, Bank Transfer, Online, etc.)
- Reference number (if applicable)
- Notes (optional)
- Click "Save Payment"

Payment Methods
Supported payment methods:
- Cash: Physical cash payments
- Bank Transfer: Direct bank transfers
- Online Payment: Credit/debit card, digital wallets
- Check: Check payments
- Other: Custom payment methods

Generating Receipts
- After recording payment, click "Generate Receipt"
- Receipt includes:
- Student information
- Payment amount and date
- Payment method
- Reference number
- Receipt number
- Print or download receipt (PDF)

Monitoring Payments
Payment Dashboard
View key financial metrics:
- Total Fees Due: Sum of all outstanding fees
- Total Collected: Total payments received
- Collection Rate: Percentage of fees collected
- Outstanding Amount: Unpaid fees
- Recent Payments: Latest payment transactions

Outstanding Fees
- Navigate to "Outstanding Fees"
- View all unpaid fees
- Filter by:
- Student
- Class
- Fee category
- Due date range
- Identify overdue payments

Payment History
- Go to "Payment History"
- View all payment transactions
- Filter by date, student, class, or payment method
- Search for specific payments
- Export payment history

Financial Reports
Generating Reports
- Navigate to "Reports"
- Select report type:
- Fee Collection Report: Total fees collected
- Outstanding Fees Report: Unpaid fees summary
- Student Fee Report: Individual student fee details
- Class Fee Report: Fees by class
- Monthly Financial Report: Monthly financial summary
- Custom Report: Create custom financial reports

- Fee summaries and totals
- Payment details

- Collection rates

- Student/class breakdowns
Exporting Reports
- Generate desired report
- Click "Export"
- Choose format:
- PDF: For printing and sharing

- Collection rate trends over time
- Payment method distribution
- Class-wise fee collection
- Monthly collection charts
- Outstanding fee trends

Key Metrics
Monitor important financial metrics:
- Collection Efficiency: Rate of fee collection
- Average Payment Time: Time taken to collect fees
- Payment Method Trends: Popular payment methods
- Fee Categories Breakdown: Distribution by category
Best Practices
Troubleshooting
Issue: Fee not appearing for student
- Solution: Verify fee structure is set up for the student's class/subject and that fees are properly assigned
Issue: Payment not recording
- Solution: Check payment details, ensure all required fields are filled, and verify system connectivity
Issue: Incorrect balance calculation
- Solution: Review payment history and fee assignments. Recalculate if necessary
Issue: Cannot generate receipt
- Solution: Ensure payment is properly recorded and all required information is available
